How to Manage Seats in Your Workspace

How to use the admin suite to manage members, assign seats, and track availability from the Workspace Members page.

Who can manage seats?

Only Billing Admins can view and manage seat assignments.
If you're not a Billing Admin but should be, send us a chat and we’ll help update your role. (Hint: It’s usually whoever manages your team.)

How do I access the Workspace Members page?

  1. Go to your workspace. Open link

  2. Click your avatar in the bottom-left corner.

  3. In the menu, select Workspace Settings.

  4. Click the Members tab at the top of the page.

What can I see on the Members page?

  • A list of all members and their roles (Member or Billing Admin)

  • Each member’s seat type (Expired, Free, Core, Advanced, or Enterprise)

  • Your current seat usage:

    • Total paid seats

    • Seats in use

    • Seats remaining

How do I add or remove paid seats?

  • If you're on a self-serve plan, you can modify your seat count directly from the billing page. Open link

  • If you're on a sales-assisted plan, reach out to us on chat to make changes.

How do I invite new members?

You’ve got two options:

  • Email invite: Enter their email to send an invite.

  • Shareable link: Copy and send the invite link however you want.

All new users start with a 14-day free trial.

How do I give someone a paid seat?

Once the new member creates their account:

  1. Search for them in the Members list.

  2. Change their seat from Free to Enterprise or Advanced.

  3. Scroll down and click Save changes.

That’s it, easy.

FAQs

Why don’t I see the Members tab?

You may not be a Billing Admin. Only Billing Admins can access the Members tab in Workspace Settings.

I changed a member’s seat type but nothing happened, why?

After making changes, make sure to click “Save changes” at the bottom of the page. If you close the tab or navigate away, the changes won’t stick.

Why can’t I reduce the number of paid seats?

If you're on a sales-assisted plan, seat adjustments must be handled through our team.

I invited someone, but they haven’t shown up in the Members list. What gives?

The person needs to create an account with an email address with a matching work domain before they appear in your Members list. You can resend the invite if needed.

I gave someone a paid seat, but they’re still showing as Free.

Check that the member has completed account setup. If they have, reassign their seat and save changes. Still stuck? Reach out to us via chat.
